Exhibition Rules and Regulations

 

Institute:

  In this document, the term Institute refers to the Peruvian Institute of Mining Engineers, its headquarters or employees representing it during the organization of the XII International Congress of Prospectors and Explorers - pro EXPLO 2021.

General Coordinator:

  In all cases, the General Coordinator is the Institute's representative before the Exhibitor, responsible for ensuring compliance with all provisions of the XII International Congress of Prospectors and Explorers - proEXPLO 2021.

Exhibitors Admission:

  The Institute reserves the right to accept the participation of any company, product or service.

Exhibitor's Representative:

  Each Exhibitor shall designate a representative before the Institute. The Exhibitor accepts and acknowledges as valid any management, request or agreement made by its representative on its behalf.

Responsibilities:

  The Institute shall not be held liable for damages caused by acts beyond the control and foresight of the XII International Congress of Prospectors and Explorers - proEXPLO 2021, such as terrorism, vandalism, natural disasters; for loss or damage caused to the Exhibitor's samples, equipment, tools and decorative materials; for any accidents that the Exhibitor's own or hired staff may suffer, nor for any damage that the Exhibitor's goods may cause to third parties, therefore an insurance policy covering all the above-mentioned risks shall be contracted by the Exhibitor. The Exhibitor shall be held liable for any damage or loss caused to the facilities of the Sheraton Lima Hotel & Convention Center. Any damage shall be assessed by the Institute and paid by the Exhibitor before picking up its merchandise.

Sublease:

  The Exhibitor may not partially or totally sublet the leased area. Failure to comply with this clause may result in the automatic rescission of the agreement and return of the stand to the Institute with no refund.

Free Registration:

  The Participation Agreement gives the right to one registration to the Conferences per stand. Two registrations with Exhibition-only access per stand and 30 invitation cards to the Exhibition, which are valid for a single entry.

Samples Exhibition:

  The exhibition of operating equipment and samples shall be authorized only if they pose no danger or discomfort to the participants or facilities. No sound amplification equipment shall be allowed, other than for audiovisual presentations, in which case the volume may not interfere with the normal development of the XII International Congress of Prospectors and Explorers - proEXPLO 2021.

Booth Specifications:

  The XII International Congress of Prospectors and Explorers - proEXPLO 2021 offers booths with basic decoration. Each booth is 3 meters wide and 2 meters deep. Walls are made of white melamine, with a fascia board at the front on which the Exhibitor's name will be displayed. Lightning consists of 3 wall-mounted lamps with saving bulbs (white light) and a double grounded outlet. The exhibitor is allowed to consume up to 400 watts of electrical energy per stand, free of charge.

Own Design:

  Any modification to the original booth design shall be approved by the XII International Congress of Prospectors and Explorers - proEXPLO 2021. The new design shall respect the event's overall harmony and be submitted to the XII International Congress of Prospectors and Explorers - proEXPLO 2021 until January 11, 2021. Nailing, painting or exceeding the established booth dimensions is not allowed. Any modifications shall be at the Exhibitor's expense.

Decoration:

  Booth decoration is the Exhibitor's responsibility; however, the Institute shall have the authority and power to decide on this respect, being able to order, if it deems it necessary, the replacement, relocation or new booth decoration at the Exhibitor's expense, without its prior authorization.
  The list of official companies in charge of the booths and furniture assembly will be published on the website. Please contact our sales representatives.

Staff Access:

  The Exhibitor's staff and contractors shall be duly identified with their ID cards (DNI) and must be over 18 years of age to enter the XII International Congress of Prospectors and Explorers - proEXPLO 2021 venue, both during the assembly and disassembly periods, as well as during the event. To this end, the Exhibitor shall submit the list of people in charge of the booth assembly and disassembly no later than January 07, 2021, including their ID card (DNI) number; otherwise, they may not enter.
  During the exhibition, pedestrian access shall be through the main entrance at Calle El comercio cuadra N°01, San Borja.
  The exhibition shall be held in the first floor of the Lima Convention Center.
  About the reception and removal of structures, it will be informed in a timely manner about the assigned accesses.
  Exhibitor's decoration and promotional material shall be admitted into the venue accompanied by an Entry Note issued in three copies by the Exhibitor.
The note shall be endorsed by the Security Officer designated by the organization. All exhibitors and contractors shall enter with the safety materials recommended for the type of activity to be carried out and presenting the Supplementary Occupational Risks Insurance Policy.
  If the company has its own design, the construction and/or structures assembly shall be carried out on Saturday, February 6 and Sunday, February 7 (09:00 a.m. – 21:00 p.m.) If there is no own design, and therefore no structure assembly is required, only booth decoration, this shall be done on Sunday, February 07, 2021 (09:00 a.m. – 21:00 p.m.).
  No refurbishment works may be allowed during exhibition hours. If the Exhibitor has not finished, it may resume only after the closing (prior coordination with the Institute.) All booths shall be assembled until the end of the exhibition, so early removal of any exhibited product is strictly prohibited.

 

Booth Staff:

  In order to protect the image and comply with the quality standards of the XII International Congress of Prospectors and Explorers - proEXPLO 2021, please consider the following:
During the service shift, booth staff shall show order, good manners, service-oriented attitude towards visitors, and dress soberly according to the professionalism and seriousness of the event and company they are representing. IIMP may make observations on the clothing of the booth staff hired by the Exhibitor if it does not comply with the aforementioned parameters and request the removal and/or immediate replacement.

UNIMPRO Y APDAYC:

  In case the Exhibitor decides to reproduce musical pieces or phonograms of any national / international interpreter or author, they must process the respective permits before the relevant authorities.
  On the other hand, the Exhibitor will assume full and exclusive responsibility for any infringement that it commits in front of APDAYC, UNIMPRO or any other collective management company of copyright or others, as well as any supervisory entity related to such rights in the case of no have processed the corresponding permits; and undertakes to keep EL IIMP harmless with respect to any sanction or damage to the latter because of the Exhibitor's actions.

Distribution of Promotional Material:

  Promotional material shall be distributed within the Exhibitor's booth. No alcoholic or non-alcoholic beverage distribution is considered.

Disassembly:

  All disassembly works can be carried out by the Exhibitors on Thursday, February 11 from 09:00 a.m. to 21:00 p.m.
  In the case of Core Shack, their samples can be picked up on Wednesday, February 8, at the closing of the event, from 6:30 p.m. to 21:00 p.m.

Services provided by IIMP:

  IIMP shall provide the following services to all exhibitors:

  • Power Supply. Electrical power is single-phase, including a double 400-watt socket. If more electrical power is required by the Exhibitor (exceeding the 2 KW provided), please notify this no later than Friday, January 15, 2021.
    The XII International Congress of Prospectors and Explorers - proEXPLO 2021 will evaluate its feasibility and send you the additional cost budget to be paid immediately to this effect (US$0.45 per watt).
    If the Exhibitor does not communicate its additional electricity requirement by the date indicated, it shall be assumed that the Exhibitor agrees with the electrical power offered and may not exceed the established energy consumption.
    During the event, an inspection of the energy provided to each stand will be held, in case anyone has exceeded and has not processed the energy additional, it will be billed with the payment condition at the time.
  • Furniture Booths include a table, two chairs, an individual locking door credenza, and a trash can.
  • Any other elements rental is the exhibitor's responsibility.
  • Surveillance. A Surveillance Company has been contracted to be in charge of the general security of the premises.
  • Cleaning. The cleaning of circulation areas will be in charge of the XII International Congress of Prospectors and Explorers - proEXPLO 2021(schedule by define).
  • Internet. Each person in charge of the stand will receive an Internet access password. This service is limited, so we recommend not to download large files. This password is for your stand's exclusive use.

Schedule:

  Wednesday, December 30, 2020.  Deadline for booth payment. From this date onwards, the Participation Agreements will be received with the total payment.
  Monday, January 11, 2021. Deadline to request furniture rental.
  Monday, January 11, 2021. Deadline to submit your booth's Own Design, if any.
  Monday, January 11, 2021. Deadline to submit the form including complete and accurate information for the fascia board; no changes can be made after this date.
  Friday, January 15, 2021. Deadline to request, if required, additional electrical power than that provided by the Organization, which is 400 watts per booth. Cost: US$0.45 per additional watt.
  Friday, January 29, 2021. Deadline for submitting the list of persons in charge of the booth assembly and disassembly.
  Friday, January 29, 2021. Deadline for submitting the company's information form for the pocket program.
  Saturday, February 6 and Sunday, February 7, 2021. Booth assembly with structures - Own Design
  Sunday, February 7, 2021. Booth decoration from 9:00 a.m. to 21:00 p.m.
