VIRTUAL EXHIBITION RULES AND REGULATIONS

 

Institute

In this document, the term Institute refers to the Peruvian Institute of Mining Engineers, its headquarters or employees representing it during the organization of the 12th International Congress of Prospectors and Explorers - pro EXPLO 2021 - Virtual Edition.

General Coordinator

In all cases, the General Coordinator is the Institute's representative before the Exhibitor, responsible for ensuring compliance with all provisions of the 12th International Congress of Prospectors and Explorers - proEXPLO 2021 - Virtual Edition.

Exhibitors Admission

The Institute reserves the right to accept the participation of any company, product or service.

Exhibitor's Representative

Each Exhibitor shall designate a representative before the Institute. The Exhibitor accepts and acknowledges as valid any management, request or agreement made by its representative on its behalf.

Responsibilities

The Institute shall not be responsible for damages caused by acts that were beyond the control and foresight of the 12th International Congress of Prospectors and Explorers - proEXPLO 2021, such as unforeseeable events or force majeure. In addition, the Institute shall not be held liable for the Exhibitor's connectivity to access the virtual platform of the Event, which is the sole responsibility of the Exhibitor.

Sublease

The Exhibitor shall not partially or totally sublet the leased virtual space. Failure to comply with this clause may result in the automatic rescission of the agreement and return of the virtual space to the Institute with no refund.

Free Registration

The Participation Contract gives the right to register for the Virtual Keynote Speeches by renting a booth depending on the category chosen, valid during the week of March 22nd to 26th, 2021

Samples Exhibition

The exhibition of working equipment and samples will be authorized within the virtual space provided. These displays must be framed within ethics and good customs.

The Exhibitor must make a video explaining the samples that will be exhibited in order to place them in the booth.

General specifications:
Files in PDF format: maximum size 20MB
Files in Excel format: maximum size 20MB

MP4 videos: 1280px * 720px, length 30 seconds - optional: videos uploaded to youtube or vimeo
MOV videos: 1280px * 720px, created in Chromakey, preferably in a studio

Designs shall be in 3D. The Exhibitor is required to have optimal internet signal and connectivity, to be connected the whole day virtually during the week of the event and to assist the participating public.

Own Design

Any modifications to the original booth design must be approved by the exhibitor. The virtual design will respect the general harmony of the event, it will be approved until February 25, 2021, after that date no modifications will be allowed. Exceeding the established booth dimensions is not allowed. Any modifications shall be at the Exhibitor's expense.

Decoration

Virtual booth decoration is the Exhibitor's responsibility; however, the Institute shall have the authority and power to decide on this respect, being able to order, if it deems it necessary, the replacement, relocation or new virtual booth decoration at the Exhibitor's expense, without its prior authorization.

Withdrawal

If the Exhibitor decides not to participate in the Virtual Exhibition until December 10, 2020, a penalty of 20% of the total amount will be charged for administrative expenses. The Exhibitor must notify IIMP in writing. No reimbursement will be made if the withdrawal is made after January 30, 2021.

Apdayc and Unimpro Permits

In case the Exhibitor decides to reproduce musical pieces of any national/international performer or author, the respective permissions must be obtained from the relevant authorities.

On the other hand, the Exhibitor shall assume total and exclusive responsibility for any infringement committed against APDAYC, UNIMPRO or any other copyright collective management society or others, as well as any other supervisory body related to such rights in the event that the corresponding permits have not been processed; and undertakes to hold IIMP harmless from any sanction or prejudice caused by the Exhibitor's actions.

Direct Sale

In case the Exhibitor carries out commercial transactions during the Virtual Event, it will be its responsibility to comply with the tax and customs laws in force, for which it must provide the pertinent proofs of payment and have a complaint book according to applicable regulations.

Thus, the Exhibitor agrees to hold the IIMP harmless from any complaint, sanction, contingency or other, because of the consumer relations that may arise between the Exhibitor and the participants of the event. The IIMP will be free to go against the Exhibitor in case it is involved in the aforementioned cases.

Booth Staff

In order to protect the image and comply with the quality standards of the 12th International Congress of Prospectors and Explorers - proEXPLO 2021, please consider the following:
During the service shift, the people in charge of the virtual booth shall show order, good manners, service-oriented attitude towards visitors according to the professionalism and seriousness of the event and the company they are representing.

Distribution of Promotional Material

Promotional material shall be distributed within the virtual channels considered by the Exhibitor.

Schedule

  Friday, February 19, 2021. Deadline for virtual booth payment. From this date onwards, the Participation Agreements will be received with the total payment.

  Friday, February 5, 2021. Deadline to apply, in case of requiring additional virtual/interactive service per booth.

    Friday, February 5, 2021. Deadline to submit your booth's Own Design, if any.
